Why You Need a Business Email (and How to Prepare for Customer Service)

After the three key profile types, two more setup topics deserve attention: a business email and customer service.
Among all the setup steps for an online business, two are often forgotten: a business email and customer service. Both seem small at the start, and both become very important as your business grows. In this article we explain why a business email helps you own your audience, and how to prepare for the responsibility of serving customers.
Why a business email counts as a profile
Besides the three key profile types, we consider a business email an additional profile. In some income techniques, we recommend it from the start. The reason is simple and very practical.
A dedicated business email becomes important because collecting email addresses is how you build your own first-party database.31 First-party simply means the data is collected directly by you, from people who chose to give it to you.
No matter how social media platforms or marketplaces change their rules, or even if they disappear altogether, you will not lose that database. You will always be able to communicate with the people who signed up for your newsletter, and offer them your products and services, as long as they do not unsubscribe.
Why use a business email instead of a personal one?
Free email providers like Gmail, Yahoo or Hotmail are often flagged as spam when used for business purposes. This means your messages might simply not be seen if they come from a personal address. Customers may also trust a business address more.
There is a relatively simple and low-cost way to create a business email, using providers like Google Workspace. Many website hosts and domain providers also include a business email with a domain. An address like hello@yourbusiness.com looks professional and keeps your private inbox separate.
How to start an email list with your business email
Once you have a business email, you can start collecting subscribers. Add a simple signup form to your website or social profile. Offer something useful, such as a short guide or a checklist, to people who join.
Make sure people actively agree to join, with a clear and unchecked box. A free resource must stay truly free, so it should not require a newsletter signup. We explain these consent rules in detail in Lesson T4.
Business email on a small budget
A business email does not need to be expensive. Many email marketing tools offer free plans for small lists. When you are just starting out, you do not need to spend more than about 20 dollars on your setup.
Monthly fees for advanced email tools can wait until your list is large enough to need them. Start free, collect your first subscribers, and upgrade only when it makes a real difference.
A note on customer service
We also want to include a note on customer service in the profiles section. You must never forget that you are going online as an entrepreneur to serve people and to earn. That inevitably comes with a great level of responsibility.
Customer service is something you need to be comfortable with as an entrepreneur. If you are not, consider letting marketplaces or fulfillment platforms take care of at least parts of it for you.32 This is a big decision, so think about it carefully.
What customer service really involves
There will be satisfied customers, and just as likely there will be complaints. These may not even be about what you deliver. They might be about the speed of delivery, the packaging or anything else the customer did not like.
Think about yourself as a customer. You may admit that whoever made the mistake, you complain to the person or company you bought from. Your customers will do the same.
Choosing your level of direct contact
Direct contact with customers is a fantastic way to learn about online entrepreneurship. You hear exactly what people like and what they would improve. If you feel you are not ready for that direct relationship yet, consider a marketplace as your key profile.
Customer service is not the only potentially stressful part of an entrepreneur’s life. It is, however, one that carries a lot of responsibility, because it involves dealing with people’s feelings.
Using your email list wisely
Once people join your list, send them useful messages regularly, but not too often. A short email with a helpful tip, a new product or a behind-the-scenes update every week or two is enough. Always include an easy way to unsubscribe.
Your email list is also a strong traffic source. When you publish a new article or launch a product, your subscribers are the first people to hear about it. Unlike social media, no algorithm decides who sees your message.
Practical customer service tips for beginners
- Answer quickly and kindly. A fast, friendly reply solves many problems before they grow.
- Use templates for common questions. Prepare short answers about delivery, refunds and downloads.
- Be clear in advance. Clear descriptions, delivery times and refund policies prevent many complaints.
- Stay calm with difficult messages. Take a moment before replying, and focus on finding a solution.
- Learn from every complaint. Repeated questions often show where your offer or description can be improved.
Your business email is the natural place for all of this communication. It keeps customer messages organized and separate from your personal life.
Set a regular time to check your inbox, for example once in the morning and once in the evening. This keeps response times good without letting customer messages interrupt your whole day.
When to hand customer service to a platform
If you expect many orders, sell physical products or simply prefer less direct contact, platforms can help. Marketplaces handle many disputes and refunds through their own systems. Fulfillment services can take care of shipping questions and returns for physical products.
You remain responsible for your offer and your quality, but the daily handling becomes lighter. This can be a good middle path while you build confidence.
Staying private while serving customers
You can offer warm, personal customer service without sharing your face or private details. A business email and a shop name are enough for customers to reach you. If the idea of self-branding is what held you back so far, Lynnaider recaps the alternatives for you.

Frequently asked questions
Why is a business email considered a profile in Lynnaider’s approach?
Because collecting email addresses is how you build your own first-party database. That database is yours, not a platform’s, and it survives whatever happens to marketplaces or social apps.
Why not just use my Gmail?
Because free providers like Gmail, Yahoo, or Hotmail are often flagged as spam for business use. Your emails may never be seen. A dedicated business email through Google Workspace or similar is the small, low-cost fix.
Are there step-by-step Lynnaider tutorials for starting each of the 10 online business models with a minimal-cost setup?
Not yet, but they might be made if enough people ask for them. Sign up to the waitlist so we can see the interest, and you will be among the first to hear when they are available.
Do I really need customer service as an entrepreneur?
If you sell to people, yes. Even satisfied customers sometimes complain about packaging, delivery timing, or details you did not control. Being ready for that direct relationship is part of the job.
What if I do not want to handle customer service myself?
Choose a marketplace as your key profile. Amazon, Etsy, and similar platforms take care of at least parts of customer service for you. Fulfillment platforms can also carry some of that load.
Why is customer service one of the harder parts of online entrepreneurship?
Because it involves dealing with people’s feelings as well as their orders. That carries a level of responsibility that some entrepreneurs are ready for and others prefer to shield themselves from.
Is there a middle path between full self-service and a marketplace?
Yes. Many entrepreneurs handle their own website but outsource the shipping and support layers to fulfillment platforms. The right mix depends on how much direct contact you actually want with your customers.
